Privacy Policy

How we collect, use, disclose, and protect personal information when you use PrepKingz websites, portals, and logistics services.

This policy applies to prepkingz.ca, portal.prepkingz.ca, shipping.prepkingz.ca, and related PrepKingz Warehouse Inc. services offered from Montreal, Québec.

1. Who we are

PrepKingz Warehouse Inc. ("PrepKingz," "we," "us") operates an Amazon prep center and multi-channel 3PL from 111 Chabanel West, Suite 629, Montreal, QC H2N 1C9.

This Policy is designed to meet Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and Québec's Act respecting the protection of personal information in the private sector (Law 25 / Bill 64).

2. Information we collect

Account and contact data: name, email, phone, company name, billing contacts, and messages you send through quote or contact forms.

Operational data: ASNs, SKUs, shipment details, portal activity, invoices, and communications needed to receive, prep, store, and ship inventory.

Technical and marketing data: IP address, device/browser type, pages visited, referrer, UTM parameters, and cookies or similar technologies used for analytics and advertising measurement.

3. How we use information

We use personal information to respond to inquiries, prepare quotes, onboard clients, operate warehouse and portal services, invoice, and provide customer support in English or French.

We also use information to improve our website and services, detect fraud or abuse, comply with legal obligations, and — with appropriate consent or as otherwise permitted — send relevant service updates or marketing.

We do not sell personal information. We do not use client inventory data for unrelated marketing of third-party products.

4. Legal bases and consent

We process information based on contract necessity (to deliver prep and fulfillment services), legitimate interests (security, service improvement), legal obligations, and consent where required (certain cookies or marketing emails).

You may withdraw marketing consent at any time using unsubscribe links or by emailing prep@prepkingz.ca. Withdrawal does not affect processing required to perform existing services.

Where Québec Law 25 requires express consent for sensitive information or certain disclosures, we obtain it before processing.

5. Sharing and service providers

We share personal information with processors who help us operate the business: hosting, CRM, email (e.g. Brevo), payments (e.g. Stripe), analytics, carriers, and customs brokers when required for a shipment.

Providers are bound by contractual confidentiality and security obligations and may only use data to perform services for PrepKingz.

We may disclose information if required by law, court order, or to protect rights, safety, or property of PrepKingz, our clients, or the public.

6. Cross-border transfers

Some providers may store or process data in Canada, the United States, or other jurisdictions. When data leaves Québec or Canada, we take contractual and organizational measures appropriate to the risk.

Cross-border inventory shipments (e.g. Canada to US Amazon FCs) may require sharing shipment and commercial details with carriers, brokers, and marketplace receiving systems.

By using our services, you understand that logistics partners need limited personal or business contact data to complete delivery and clearance.

7. Retention

We retain personal information only as long as needed for the purposes described, including legal, accounting, tax, and dispute-resolution requirements.

Quote and CRM records are typically retained for the commercial relationship plus a reasonable archival period. Warehouse transaction logs may be retained longer for audit and claims.

When retention ends, we delete or anonymize information in a secure manner, subject to backup cycles.

8. Security

We use administrative, technical, and physical safeguards appropriate to a logistics and SaaS environment, including access controls, encrypted transport where applicable, and staff confidentiality expectations.

No method of transmission or storage is perfectly secure. Please use strong unique passwords for portal accounts and notify us of suspected unauthorized access.

If a confidentiality incident presents a risk of serious injury, we will notify affected individuals and the Commission d'accès à l'information du Québec as required by Law 25.

9. Cookies and analytics

Our websites may use essential cookies for security and session functionality, and optional analytics or advertising cookies to understand traffic and campaign performance.

You can control cookies through browser settings. Blocking some cookies may affect site features.

Where required, we will present a consent mechanism for non-essential cookies.

10. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of personal information we hold about you, and information about how it is used and shared.

Québec residents may also request information about automated decision-making that significantly affects them, and may file a complaint with the Commission d'accès à l'information du Québec.

To exercise rights, email prep@prepkingz.ca with enough detail to verify your identity and locate your records. We respond within statutory timelines.

11. Children

PrepKingz services are directed to businesses and adult commercial sellers, not to children under 14 (or the age of majority for commercial contracting).

We do not knowingly collect personal information from children. If you believe we have, contact us and we will delete it.

Parents or guardians who believe a minor submitted information through our forms should email prep@prepkingz.ca.

12. Changes to this policy

We may update this Privacy Policy to reflect operational, legal, or regulatory changes. The "Last updated" date at the top will change when we do.

Material changes will be posted on this page and, where appropriate, communicated by email to active clients.

Continued use of our websites or services after an update constitutes acceptance of the revised Policy, except where consent is expressly required by law.
